Microsoft 365 Setup Checklist for Small Businesses

Microsoft 365 is the most widely used business productivity platform in North Central Florida — but most small businesses are using only a fraction of what they're paying for. This checklist covers everything that should be configured when setting up Microsoft 365 and what to verify if you've been on the platform for a while.

15
config items typically missed
60%
of M365 features go unused
$15
per user/mo for management
99.9%
of attacks blocked by MFA

"Most small businesses are paying for Microsoft 365 but using less than 40% of what they have access to."

Security Configuration Checklist

Security is the most critical — and most frequently neglected — area of Microsoft 365 configuration. These items should be configured before any user logs in for the first time.

// Security
Enable MFA for every user without exception
Configure conditional access policies for compliant devices
Separate admin accounts from daily-use accounts
Enable data loss prevention policies for sensitive data
Disable legacy authentication protocols
// Email
Verify custom domain and configure business email addresses
Set up company-wide email signatures
Configure anti-phishing and impersonation protection
Enable email encryption for sensitive communications
// SharePoint
Design logical document library structure
Configure permissions per department and role
Restrict external sharing to approved domains only
// Teams
Organize channels around actual business workflows
Set messaging and meeting policies
Configure guest access restrictions
// Backup
Implement dedicated M365 backup separate from Microsoft retention
Configure backup for email, SharePoint, and Teams content
Schedule and test restore procedures quarterly
// Warning

Default Microsoft 365 security settings are insufficient for business use. MFA is not enabled by default, legacy authentication is still allowed, and there are no data loss prevention policies configured out of the box. Deploying M365 without configuring security is like installing a front door without a lock.

The Proper Setup Process

Here is the step-by-step process Simply IT follows when setting up Microsoft 365 for a small business. Skipping any of these steps creates gaps that lead to security incidents, data loss, or wasted spending.

01
Purchase & License
Select the right M365 plan based on actual needs. Assign licenses per user based on their role. Most small businesses overpay by choosing the wrong tier.
02
Configure Security
Enable MFA, disable legacy authentication, configure conditional access, set up DLP policies, and create separate admin accounts before any user logs in.
03
Migrate Email
Verify your custom domain, configure DNS records including SPF, DKIM, and DMARC, and migrate existing email with full history preserved.
04
Set Up SharePoint & Teams
Build logical document structures, configure permissions, set external sharing policies, organize Teams channels, and establish governance rules.
05
Train Staff
Walk every user through their new tools, establish best practices, and ensure everyone understands security expectations including MFA and phishing awareness.

Nonprofit organizations qualify for Microsoft 365 pricing discounts of 60–75% through Microsoft's nonprofit program. Many eligible organizations in North Central Florida are paying full price simply because they never applied.

// Key Takeaway

Microsoft 365 is powerful — but only when properly configured. A default deployment with no security hardening, no backup, and no governance is worse than no cloud at all because it creates a false sense of security.

If you're not certain your Microsoft 365 environment is properly configured, Simply IT provides assessments and ongoing management for businesses across North Central Florida.
